A prominent player in the North American metals market, specifically operating as a specialized manufacturer and distributor of finished metal products in the Metals & Mineral Manufacturing industry and Cold-Finished Steel Bar Manufacturing industry sub-sector, recognized the need for an Inside Sales process improvement in the areas of accuracy, speed and overall efficiency.
Operating out of a massive 600,000-square-foot facility, they are known for transitioning from a traditional service center into a high-tech manufacturer of cold-drawn, turned, ground, and polished steel bars. They are a subsidiary of one of the largest independent producers of these products in North America.
Their Inside Sales team needed help in responding quickly, accurately and efficiently to inbound RFQ’s and PO’s.
Below values justify how we have assisted this company to keep up with the current market trends by maintaining quality and increased labor savings.
The Inside Sales team receives approximately 200 RFQ’s and PO’s per week, their challenges in handling these requests were identifying which specialty steel parts were being requested and determining if those parts were in stock or in the production planning process.
The specialty steel parts in inventory had many attributes, and the initial search for the correct parts could include as many as 20 to 30 parts which were potentially the correct part. The sales rep then had to make the correct judgement call and select one of the many parts which appeared to map correctly to the request.
In addition to the challenge identifying the correct part, they also had to satisfy aggressive request dates, some customers and prospects were demanding next day delivery.
This manual process produced many errors in selecting the wrong parts, and then shipping the parts, which was both expensive and detrimental to the customer experience.
For the global steel manufacturing company this is the solution which we have provided
To address these challenges, an AI-driven solution was implemented using Agentic AI.
The solution first extracted the required parts data from the RFQ’s and PO’s, and then searched the parts master inventory to find the potential parts that matched the request.
These parts were then displayed on a dashboard, along with the many attributes of each part. The Inside Sales rep analyzed the dashboard, eventually selecting the “best fit” parts from the dashboard, and also had override capabilities (for example on pricing).
By retrieving all potential parts that match the request and displaying them to the rep quickly, the number of errors in selecting the wrong part has been dramatically reduced.
Upon selecting the correct part, the solution then sends the acknowledgement to the customer, and once approved all the information is automatically routed to an automated sales order process, completing the sales cycle.
The process begins with an email from the customer or prospect containing an RFQ or PO:
Customer / prospect sends an email to the Inside Sales team with an RFQ or PO attached. This is usually in the form of a PDF file, but could also be other formats or even the body text of an email
The AI Agent detects PO and RFQ emails and triggers the workflow without manual intervention
The AI Agent extracts all required information regarding the parts request from the PO or RFQ
The AI Agent searches the inventory master looking for all parts that potentially fit the request. Note the many attributes and also the possibility of using substitute parts result in a high number of parts that fit
The AI Agent displays all parts that potentially match the request on a dashboard for the Inside Sales rep. All relevant information about each part is displayed, including availability. The Inside Sales rep ultimately selects the “best fit” part, and has override capabilities for that part, for example pricing
The AI Agent then sends an email of acknowledgement to the customer, and routes all relevant information to the sales order entry conversion automation
The AI Agent then calls an RPA automation that converts the relevant information to a sales order, completing the workflow
