Client Overview

A global transportation and logistics organization experienced rapid growth following COVID, resulting in a sharp increase in Accounts Payable invoice volume. Operating across regions, the AP team was responsible for auditing, processing, and paying tens of thousands of supplier invoices annually.

The organization relied heavily on manual processes, which became increasingly difficult to scale. As invoice volumes grew, staff workloads intensified, data quality declined, and delayed payments began to impact supplier relationships and credit standing.

The Challenge

Following the post-COVID surge, the Accounts Payable team struggled to keep pace with growing invoice volumes. Manual auditing and data entry slowed processing times, increased the risk of errors, and placed excessive strain on staff.

As workloads increased, invoice backlogs grew. Payments were delayed, data accuracy suffered, and supplier relationships became strained — even leading to operational disruptions and work stoppages.

The organization needed a scalable, accurate, and reliable way to process invoices without adding headcount or disrupting existing ERP systems.

Solution

For the global transportation & logistics company this is the solution which we have provided

To address these challenges, an AI-driven AP invoice processing solution was implemented using robotic process automation, machine learning, and a centralized workbench application.

The solution automated the full invoice lifecycle — from supplier email intake to ERP posting — while allowing AP users to maintain oversight and control. Machine learning handled data extraction, while automation ensured consistency, speed, and accuracy throughout the process.

This approach reduced dependency on manual effort while improving data quality and supplier confidence.

How We Do It

The process begins with supplier invoice submission and flows seamlessly through automated execution:

Suppliers send invoices directly via email, where automation captures and classifies incoming invoices automatically.

The system detects invoice emails and triggers the predefined AP automation workflow without manual intervention.

Machine learning models extract critical invoice data including invoice numbers, dates, amounts, and supplier details.

A custom-built workbench enables AP users to review, validate, and manage invoices, ensuring visibility and control.

Validated invoice data is posted directly into the Transoft ERP system, maintaining accurate financial records and enabling timely payments.

“We automated location tracking for the majority of our shipments. We automated AP invoicing for over 7,500 shipments per month, along with automating AR invoicing.

With the help of eAlliance, we combined RPA and Machine Learning to accomplish this and more, saving us over 130 hours weekly.”
